Use of Public Library Space

Preamble

The public library space is to be used primarily for Library and community use.

Policy

The Fort St. James Public Library Board does not necessarily support the views of individuals or organizations using its facilities. Advertising of programs, meetings or events taking place on library premises must not imply endorsement by the library of the content of the program, meeting or event, unless it is sponsored or co-sponsored by the library.

The Fort St. James Public Library Board will not accept any responsibility for damage to property left on the premises by organizations using the library space for display or event purposes. Insurance for items displayed or left in the library is the sole responsibility of the organization utilizing the space.

The Fort St. James Public Library Board does not allow commercial activities, private sales, or non-Library related selling on library premises, including during community use of public library space.

The Fort St. James Public Library Board does allow commercial activities if related to Library programs or function (e.g., author readings).

Procedure

1. The public library space has a total maximum capacity of 100 persons at one time (as per posted direction from the District of Fort St. James Fire Department).

  • The Library Director and/or staff will determine the allowable number of people occupying the public library space at any one time up to the maximum capacity of 100.
  • In the event of an emergency, staff will conduct an orderly evacuation of the library as outlined in the Fire Safety Plan for the Bi-Centennial Library.
  • The Library Director will consider use of the public library space for:
  • Library programming;
  • Community-sponsored events; and
  • Community-sponsored displays.

2. The public library space is available dependent on the availability of staff or other Board- or Library Director-authorized persons.

3. Application for use of the public library space is made through the Library Director.

4. The group requesting use of the public library space is responsible for:

  • Submitting application for use of public library space;
  • Signing the liability waiver;
  • Set up and take down of tables, chairs, and their own equipment;
  • Supplying necessary articles needed to protect library furnishings (e.g., table coverings);
  • Cleanup of all equipment and supplies immediately upon conclusion of the function;
  • Any damages incurred; and
  • Professional cleaning when deemed necessary by the Library Director.

5. Application for public library space use must be made at least one week in advance of the event.
